At the QARANC Association we are committed to safeguarding and preserving the privacy of our members’ personal data. We respect and value the privacy of all our members and will only collect and use personal data in ways that are described here and in a way that is consistent with our obligations and your rights under the law.

The Association provides practical friendship to members both serving and retired irrespective of rank or time served. The Association maintains the ethos and tradition of the Corps and assists in raising the Corps profile. Its objectives are:

  • To maintain contact between past and present members of the Corps, fostering mutual friendship between them and supporting social gatherings for them.

  • Fostering Esprit de Corps, comradeship and the welfare of the Corps, preserving its traditions.

  • To support either generally or individually, members of the Association or past and present members of the Corps and their dependants, who are in conditions of need, hardship or distress.


WHAT DOES THIS NOTICE COVER?

This Privacy Notice explains how The Association uses your personal data; how it is collected, how it is held, and how it is processed. It also explains your rights under the law relating to your personal data. Where the terms ‘we’ and ‘us’ are used in this privacy notice this relates to ‘The Association’.


What is Personal Data?

Personal data is defined by the General Data Protection Regulation (EU Regulation 2016/679) (the “GDPR”) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.

Personal data is, in simpler terms, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data, and other online identifiers.


PERSONAL DATA WE COLLECT

The Association may collect some, or all, of the following personal data (this may vary according to your relationship with us). Information may be collected when you complete a membership form by post, by email or by entering information into form fields on our website. We may also need to process personal data when responding to an enquiry about our membership services. Personal data we may collect:

  • Full Name

  • Maiden Name (if applicable)

  • Date of birth

  • Rank, Service Number and Decorations

  • Postal Address for correspondence

  • Email address

  • Telephone number

  • Payment information

Personal data may also be obtained from third parties such as benevolence organisations. This may be in connection to referrals and requests for assistance. The type of personal data that may be processed could include, health information, social circumstances, mobility or dependants.


HOW WE USE YOUR PERSONAL DATA?

Under the GDPR, we must always have a lawful basis for using personal data. This may be because the data is necessary for our performance of a contract with you, because you have consented to our use of your personal data, or because it is in our legitimate business interests to use it.

Your personal data collected by us may be used for one or all of the following purposes:

  • Processing your Association Membership Application and providing member services and support to you.

  • Processing applications to attend events and services.

  • Communicating with you. This may include responding to emails or calls, and letters from you.

  • Supplying you with information on our services and events that may be of interest to you by email and/or post where you have opted-in to receive this type of information.

Our lawful basis for using your personal data are as follows:

  • When you complete a membership application form or a form to attend an event, you are freely providing your personal information for the purposes of us responding to your request. Therefore, we rely on the lawful basis of ‘consent’.

  • Applying for membership and our responding to your request is a form of contract which we enter into with you, therefore we rely on the lawful basis of ‘performance of a contract’ when processing your data.

  • To enable us to carry out our responsibilities and duties as The Association, we need to process your personal data as part of our day to day business in order to provide the services that are provided to members. Therefore, we rely on the lawful basis of ‘legitimate interest’ for processing your data.

You will not be sent any unlawful marketing or spam and we will never pass your personal information to third parties for marketing purposes. We will always work to fully protect your rights and comply with our obligations under the GDPR and the Privacy and Electronic Communications (EC Directive) Regulations 2003, and you will always have the opportunity to opt in to receive marketing information on services and events available from The Association.


INFORMATION PROVIDED AND COLLECTED THROUGH OUR WEBSITE

In running and maintaining our website we may collect and process the following data about you:

  • Information provided voluntarily by you. For example, when you register for membership.

  • Information that you provide when you communicate with us by any means.

On occasion we include links to third parties on this website. Where we provide a link, it does not mean that we endorse or approve that site's policy towards visitor privacy. You should review their privacy policy before sending them any personal data.

We do our upmost to ensure that all reasonable steps are taken to make sure that your data is treated stored securely. We never store any kind of financial data such as credit or debit card or banking details on our website.

Unfortunately, the sending of information via the internet is not totally secure and on occasion such information can be intercepted. We cannot guarantee the security of data that you choose to send us electronically. Sending such information is entirely at your own risk


USE OF WEBSITE COOKIES

Cookies provide information regarding the computer used by a visitor. We may use cookies where appropriate to gather information about your computer in order to assist us in improving our website. We may gather information about your general internet use by using the cookie. Where used, these cookies are downloaded to your computer and stored on the computer's hard drive.   • The right to object to us using your personal data for a particular purpose or purposes e.g. marketing.

If you have any cause for complaint about our use of your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office.


HOW LONG WE RETAIN YOUR PERSONAL DATA FOR?

We will not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. Your personal data will therefore be kept for the following periods (or, where there is no fixed period, the following factors will be used to determine how long it is kept):

  • Active membership details are retained for the life of the membership.

  • Where members choose to terminate their membership, we ensure that information is archived and not actively processed.


HOW AND WHERE WE STORE OR TRANSFER YOUR PERSONAL DATA?

We will only store your personal data in the UK. This means that it will be fully protected under data protection legislation.

The security of your personal data is essential to us and to protect your data we take a number of important measures, including the following:

  • We ensure personal data stored in computer systems is only accessed by unique user log in and password.

  • Hardcopy personal data is stored in locked cabinets and access is controlled by only those roles who are responsible for processing the data.

  • Personal information is never left unprotected on display to unauthorised individuals.

  • Methods such as password protection are used when emailing personal data.


WHO WE MAY SHARE YOUR DATA WITH?

Where you have indicated on application forms that you wish to join a branch of The Association, we will forward your personal details to the Branch Secretary. Where you have requested support from The Association we may need to share minimal personal data with third party organisations in order to provide the support that you need. If any of your personal data is required by a third party, as described above, we will take steps to ensure that your personal data is handled safely, securely, and in accordance with your rights, our obligations, and the third party’s obligations under the law.

In some limited circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority.


HOW YOU CAN ACCESS YOUR PERSONAL DATA?

If you want to know what personal data we have about you, you can ask us for details of that personal data and for a copy of it (where any such personal data is held). This is known as a “subject access request”.

All subject access requests should be made in writing and sent to the email or postal addresses shown in this privacy notice.

There is not normally any charge for a subject access request.

We will aim to provide a complete response, including a copy of your personal data within one month.


CHANGES TO THIS PRIVACY NOTICE

We may change this Privacy Notice from time to time. This may be necessary, for example, if the law changes, or if we change business in a way that affects personal data protection.
